Read and understood in Confluence: proving people read your procedures

ISO 9001, ISO 13485 and most quality systems expect you to show that people know the procedures that apply to them. If your procedures live in Confluence, the question an auditor asks is simple: who read which version, and when?

What Confluence gives you, and what it does not

Confluence shows who viewed a page, on some plans, and keeps every version of it. A view is not a confirmation: it does not say the person read the page to the end, understood it, or saw the version in force today.

What a good record holds

  1. Who had to read. People and groups, including those who join later.
  2. Which version. Each confirmation tied to the exact content that was read.
  3. When. The date of each confirmation, against a deadline.
  4. Understood, if it matters. A few questions to answer before confirming.
  5. What happened next. A new version asks for a new confirmation.

Mistakes to avoid

  • A comment saying “read”. It is not tied to a version and is easy to miss in an audit.
  • A spreadsheet of signatures kept by hand, out of date the day the procedure changes.
  • Asking once. When the page changes, the old confirmations no longer cover what people must apply.
  • Reminders that flood inboxes. People stop reading them. One message a day per person is enough.

Step by step with Clearlane Read & Understood

  1. Under the title of the page, choose Read & understood, then pick people, groups and a deadline. Sub-pages can be included.
  2. If you want proof of understanding, add up to five multiple-choice questions.
  3. Readers confirm from the page or from My reading list. Each confirmation records the name, the date, the version and a fingerprint of the content.
  4. Follow progress per page and per person. Reminders go out before the deadline, at most one a day per person.
  5. Export a CSV, or a PDF record per page for your auditor.
