How to manage CAPA in Jira
Many quality teams already track complaints, audit findings and defects in Jira. Turning them into corrective and preventive actions that pass an audit takes a clear sequence, a real root cause, signed decisions and a dated check that the action worked.
The sequence ISO 13485 and ISO 9001 expect
- Problem: what happened, where it came from (complaint, audit, defect), how serious it is.
- Containment: what was done straight away to limit the impact.
- Root cause: why it really happened, not just who made the mistake.
- Action plan: corrective and preventive actions, each with an owner, a due date and a way to judge effectiveness, approved before work starts.
- Implementation: the actions are done and recorded.
- Effectiveness check: on a set date, check the problem did not come back, then close.
Why audits fail on CAPA
- “Human error” as the root cause, with “retrain the operator” as the action. Auditors expect the cause behind the error.
- Closing on the day the actions are done, without waiting to see if they worked.
- No trace of who approved the plan, or a plan changed after approval.
- Evidence scattered between Jira comments, e-mails and spreadsheets.
Doing it in Jira without a heavy setup
