Confluence page review checklist: keep your space trustworthy
Every Confluence space ends up with pages that look official but are no longer right. This review checklist gives each page owner the same five questions, and a short policy that says how often pages are reviewed and what happens to the ones nobody owns.
Page review policy: [Space name]
Space owner: [name] · Review rhythm: [every 6 months for how-to pages, every 12 months for reference pages]
Five questions for each page
- Is it still true? Check names, screenshots, links and numbers.
- Is it still needed? If nobody would miss it, archive it.
- Does it have one owner? A page owned by “the team” is owned by nobody.
- Is it in the right place? Move it where people will look for it.
- Is it confirmed? Record that you reviewed it, even when nothing changed.
Rules
- A page not reviewed after [twice the rhythm] gets a banner: “This page may be outdated”.
- Pages whose owner left are reassigned by the space owner within [two weeks].
- Archived, not deleted: archived pages stay searchable for [period].
Review log
| Page | Owner | Last review | Result |
|---|---|---|---|
| [page] | [name] | [date] | [confirmed / updated / archived] |
Copied. Paste it into a new Confluence page.
How to use it in Confluence
- Click Copy the template, open a new Confluence page and paste: headings, lists and tables stay as they are.
- Replace the parts in [brackets] and delete what does not apply to you.
- To reuse it, save it as a space template: Space settings › Templates › Create template, then paste.
The step most teams skip
Confirming a page that is still right. Without it, a correct page and a forgotten page look the same: both were last edited a long time ago. A review that changes nothing should still leave a trace.
